Etsy Shipping Profiles: How to Merge Too Many Into a Few

Postage goes up, you open Shipping settings, and there’s a profile for every product you ever listed. Each one needs the new rate typed in by hand. Your shop doesn’t need more shipping profiles. It needs fewer.

Merge the ones that ship the same way, and the next rate change is one edit. Just compare a few settings first, so buyers don’t start paying something different, or stop being able to buy at all.

How many shipping profiles does an Etsy shop need?

One for each way you actually ship. A shipping profile is a saved set of shipping settings: where you ship from, the services you use, what you charge, which countries you sell to and any upgrades. Etsy’s shipping help puts the rule that matters in one line: “If you edit a shipping profile, it will update on every listing you’ve applied it to.“

That’s why the count matters. Two mugs that go out in the same box, by the same service, to the same countries, at the same price, don’t need two profiles. If they have two anyway, every rate change is two edits, and in a shop with a few hundred listings that adds up fast.

Name each profile for how it ships, not for a product. “Small padded mailer, US and Canada” tells anyone on your team which one to pick. “Blue mug” stops being true the day you list a green one in the same box.

What should you check before merging two shipping profiles?

Two profiles can look alike and still charge buyers differently. Before you move listings from one onto the other, compare these settings.

Setting What changes if the two differ
Ship-from country, origin zip and services Calculated rates are worked out from the origin zip you enter, and the services are what buyers can choose from. A profile that ships from a second address prices differently, so it can’t simply take the first one’s listings.
Fixed prices or calculated Fixed profiles charge the rates you typed in. Calculated profiles work out postage at checkout from the item’s weight and size, so every listing you move onto one needs an item weight and a packed size. Etsy offers calculated shipping only to sellers in the US or Canada who ship with USPS, Global Postal Shipping or Canada Post.
One item and Additional item prices These decide what a buyer pays for two or more items. Change them and multi-item orders cost buyers more or less than before.
Shipping upgrades An upgrade on one item in a cart is offered for the whole order, and its cost applies to every item, even ones whose profile has no upgrade.
Countries A profile can leave countries out, and buyers in a country you leave out can’t buy those listings. Merge a worldwide profile into a US-only one and those listings stop selling abroad. Etsy also notes that many buyers only see listings that ship to their country, so you lose views there, not just sales.
Free shipping A listing that moves from a free profile to a paid one starts charging buyers for postage, and the reverse.
Processing time How long you take to ship an order, which sets its “ship by” date. Processing time is set in processing profiles, but the shipping profile form asks for it too. If the two profiles show different times, settle on one before you merge.

If you only double-check one row, make it Additional item. Etsy’s rule for combined shipping: it “takes the listing with the most expensive One item price and then adds each Additional item price.” In Etsy’s own example, one item has a One item price of $2.00 and an Additional item price of $0.50, and the other has $1.00 and $0.75. Bought together, they ship for $2.75. Get the Additional item price wrong on a merged profile, and every multi-item order charges the wrong postage.

Calculated profiles can’t do that discount at all. In Etsy’s words, “it isn’t possible to set discounted rates for listings with calculated shipping.” If your fixed profiles discount extra items and you move those listings to calculated shipping, that discount goes away.

On fixed profiles, countries hide in one more place: the Everywhere Else rate. Etsy uses it for “anywhere else you don’t choose your own rate for,” and a profile without it sells only to the countries it names. So if one of the two profiles has an Everywhere Else rate and the other doesn’t, the profile you keep decides whether those listings sell worldwide or only where you listed a rate.

How do I move hundreds of listings to another shipping profile?

Start by finding out what’s on each profile. A profile that turns out to hold three old listings is an easy merge. One that holds half the shop deserves a closer look at the table above.

Listadum’s Listing Manager, which is free, filters your listings by shipping profile, so you see exactly which ones sit on each.

If you’re merging onto a calculated profile, add weights and sizes before you move anything. Etsy’s calculated shipping steps put this in Listings, under Quick Edit: an Item weight and an Item size (when packed) for each listing, which Etsy uses to pick “the smallest and cheapest package” for each order. In a big shop, this is the slow part.

If you pack in your own boxes, add them in Shipping settings under the Package preferences tab. Etsy picks from its default box sizes and from yours, and you can turn its defaults off if you only use your own. Otherwise the box Etsy prices may not be the one you ship in.

Then move the listings. On Etsy, bulk editing covers shipping profiles:

  1. In Shop Manager, open Listings.
  2. Check the box next to each listing you want to move. The box at the top of the page selects all of them.
  3. Open Editing options and choose Change shipping profiles.
  4. Pick the profile you’re keeping and select Apply.

In Listadum, Bulk Edit has a shipping profile step. Select the listings, pick the profile, and change their section or return policy in the same pass if those need moving too. It comes with the Growth and Max plans. Digital listings can’t take a shipping profile, so leave them out of the selection. Our guide to bulk editing Etsy listings covers the other fields.

Once the listings have moved, edit the profile you kept with the new rates. One edit, and every listing on it has them.

Then check the result the way a buyer would. On a listing with calculated shipping, buyers can preview postage by entering their zip code or country, so open one listing from each group you moved and try a nearby address and a far one. If the numbers look like what you charged before, the merge worked. If one is far off, check that listing’s weight and size first. That’s one listing to fix, not a whole profile.

What happens to shipping profiles in a second shop?

They don’t copy over. Shipping profiles belong to the shop you made them in. When you copy listings to another shop with Listadum, the shipping size and weight come along, and you pick a shipping profile from the new shop’s own. That means a calculated profile there has what it needs as soon as you choose it. For new listings, Listadum’s Bulk Create templates fill in the shipping profile with the rest of the listing.

A new shop is your chance to start with a small set of profiles. Take it.
